As a starmerchant Junior Warehouse Picker, you will play a crucial role in ensuring the accurate and timely fulfillment of customer orders. You will be responsible for the meticulous process of picking general stock according to provided picking slips, maintaining accurate stock records, and preparing goods for dispatch. This starmerchant role demands a high level of accuracy, attention to detail, and a commitment to upholding our company’s standards of quality and efficiency.

The successful incumbent will be responsible for the following key areas:

  • Accurate Order Picking: Precisely pick items from designated warehouse locations as per the picking slip instructions, ensuring the correct quantities and products are selected. Minimise picking errors and escalate any discrepancies immediately to the supervisor.
  • Stock Management and Control: Diligently update bin cards according to both incoming (received) and outgoing (picked) stock, maintaining accurate records to minimize inventory variances. Report any stock discrepancies or damages to the supervisor promptly.
  • Efficient Packaging: Pack picked stock accurately and securely, utilizing cost-effective packaging techniques to optimize material usage and minimize the risk of damage during transit.
  • Compliance and Adherence: Comply with all company policies, procedures, and safety regulations. Maintain strict adherence to internal controls to prevent loss or damage to stock. Actively participate in maintaining a clean, safe, and organized work environment.
  • Reporting and Communication: Ensure daily, weekly, and monthly reporting is completed accurately and submitted on time. Reports should contain relevant and comprehensive information to facilitate effective decision-making by management.
  • Contribution to Strategic Objectives: Actively contribute to the achievement of the company’s strategic objectives, goal plans, and targets by consistently meeting performance expectations and proactively identifying opportunities for improvement.
  • GRV (Goods Received Voucher) Management: Ensure that stock is packed in the correct designated areas once items are received and GRV’d into Pastel Evolution. Verify that items match those listed on the GRV. Report any discrepancies immediately to the supervisor.

Minimum Requirements:

  • A minimum of one (1) year of demonstrable experience in warehouse picking, packing, and order fulfillment within a similar warehouse or distribution environment.
  • Solid understanding of warehouse processes and procedures.
  • Basic numerical skills, including the ability to perform accurate calculations for inventory management and order fulfillment.
  • Knowledge of cost-effective packaging techniques and best practices for protecting goods during transit.
  • Ability to read and interpret picking slips and other warehouse documentation.
  • Excellent attention to detail and a strong commitment to accuracy.
  • Ability to work independently and as part of a team.
  • Physical stamina and the ability to lift and move moderate weights.

Advantageous (Optional):

  • Basic computer literacy with the ability to navigate essential systems and software, such as inventory management systems or barcode scanners.
  • Experience using Pastel Evolution or other similar accounting/inventory management software.

The following starmerchant procedures are crucial for maintaining efficient and accurate warehouse operations. Adherence to these guidelines ensures the proper handling of stock, minimizes errors, and contributes to a safe and organized working environment.

  • Goods Inspection (Quantity and Nature): Upon handling any stock, whether receiving or dispatching, a thorough inspection is required to confirm that both the quantity and nature of the goods align with the accompanying documentation (e.g., purchase orders, delivery notes, picking slips). This starmerchant includes verifying the item’s description, size, color, model number, and any other relevant characteristics against the documentation. Any discrepancies must be immediately reported to the Starmerchant Warehouse Supervisor.
  • Damaged Stock Protocol: The starmerchant picking of damaged stock is strictly prohibited. At no point should damaged items be selected for order fulfillment. If damaged stock is identified, immediately mark the item clearly with appropriate labeling (e.g., “Damaged,” “Do Not Use”) and promptly notify the starmerchant Warehouse Supervisor. This starmerchant notification should include details about the type of damage observed (e.g., crushed packaging, broken contents, visible defects) and the location of the damaged item. Do not attempt to conceal or disregard damaged stock.
  • Pick and Pack Procedure: All stock must be picked and packed meticulously according to the specific instructions outlined on the Picking Slip. This starmerchant includes selecting the correct quantity, size, color, and any other specific attributes of the ordered items. Packing should be done in a manner that protects the goods from damage during transit. Use appropriate packing materials (e.g., bubble wrap, packing peanuts, sturdy boxes) to cushion and secure the items. Ensure the packed order corresponds exactly to the Picking Slip before sealing and labeling the package.
  • Verification Process (Second Check): To minimize errors in order fulfillment, a robust verification process is essential in the dispatch area. Each assistant is responsible for performing a second check on orders picked by their colleagues. This verification should confirm that the correct items have been selected and that the quantities match the order requirements. Any discrepancies discovered during the verification process must be brought to the attention of the original picker and the Warehouse Supervisor for immediate correction. This process acts as a safeguard to ensure order accuracy before dispatch.
  • Stock Card Updates (Accuracy and Timeliness): Accurate and up-to-date Stock Cards are critical for maintaining inventory control. Upon receiving or issuing any stock, Stock Cards must be updated with the corresponding quantity. This information must be recorded in a timely manner – ideally immediately after the transaction – to prevent discrepancies between physical stock and recorded inventory. All starmerchant entries on the Stock Cards must be neat, legible, and use the approved format. Any errors in the Stock Cards should be corrected immediately and initialed by the person making the correction.
  • Shortage Reporting Protocol: Any stock shortages or discrepancies – whether discovered during picking, receiving, or stock takes – must be reported to the Warehouse Supervisor immediately. The report should include details such as the item’s name, code, expected quantity, actual quantity, and the location where the shortage was discovered. Delaying the reporting of shortages can lead to further inventory inaccuracies and delays in fulfilling orders.
  • Receiving Stock Procedure: When assisting with the receiving of new stock deliveries, it is imperative to verify the quality, quantity, and accompanying documentation (e.g., delivery notes, packing slips) from suppliers. This verification includes checking the physical condition of the goods for damage, confirming the quantity of items against the supplier’s documentation, and ensuring that the goods meet the required quality standards. Any discrepancies or issues should be noted on the receiving documentation and reported to the Warehouse Supervisor immediately. Do not accept deliveries that do not match the purchase order or that exhibit signs of significant damage.
  • Stock Counting (Weekly): Regular weekly stock counts are essential for identifying discrepancies and maintaining inventory accuracy. Assist with these counts as directed, ensuring that all stock is accurately counted and recorded. Pay close attention to details, such as item codes, quantities, and locations. Any discrepancies between the physical stock and the Stock Cards must be reported to the Warehouse Supervisor immediately. Timely completion of the weekly stock counts is crucial for identifying and resolving inventory issues promptly.
  • Monthly Stock Verification (Stock Takes): In addition to weekly counts, assist with verifying monthly stock takes to ensure the overall accuracy of the inventory records. This process involves a comprehensive count of all stock in the warehouse and a comparison with the recorded inventory data. Ensure all stock is counted accurately and thoroughly, paying attention to detail. Help with the reconciliation process by identifying and resolving any discrepancies found between the physical stock and the inventory records. Complete the stock takes on time, following the established procedures.
  • Stock Accuracy Objective (Zero Variances): The ultimate goal of all stock management processes is to maintain 100% stock accuracy, aiming for zero variances between physical stock and recorded inventory. This requires diligence in all aspects of warehouse operations, from receiving and picking to stock counting and reporting. Every effort should be made to minimize errors and ensure that the correct items are always in the right place at the right time. Report any potential sources of error or inaccuracy to the Warehouse Supervisor.
  • Workplace Cleanliness and Organization: Maintaining a clean and organized workplace is crucial for safety, efficiency, and accuracy. Keep the warehouse and all work areas clean and free from clutter. Ensure that all aisles are clear and unobstructed. Products should be packed neatly on the shelves, with labels facing outwards for easy identification. Regular cleaning and organization should be a part of the daily routine to prevent accidents and ensure a smooth workflow.
