Rand Water Institute seeks an Administration Assistant to handle administrative and coordination tasks. The Rand Water Institute, a leading institution dedicated to advancing water management and research, is currently seeking a highly organized and proactive Administration Assistant to join their dynamic team. This pivotal role will be instrumental in ensuring the smooth and efficient operation of daily administrative functions and various coordination tasks across multiple departments.
The successful candidate will play a crucial part in supporting the Institute’s mission by providing comprehensive administrative assistance, managing schedules, organizing meetings and events, maintaining essential records, and facilitating effective communication within the organization and with external stakeholders. Requirements:
Candidates need a high school diploma, a post-high school degree in administration or a related field, and 2-4 years of office administration experience.
Key duties include:
managing and arranging activities for Institute Support Services, both within RWI and the larger organization; helping build relationships with people inside and outside the company; assisting with organizing meetings, taking notes, and sharing them; managing communication with all involved parties
and outside groups contributing to Institute Support Services and RWI Programs; coordinating Programs or Projects in Institute Support; preparing presentations and reports when needed; helping to review, prioritize, and schedule projects with RWI teams; making sure the operational risk list is managed and current; ensuring the contract list is kept up-to-date; and coordinating and updating intellectual property details.
Required knowledge includes:
computer skills (Microsoft Office); general administrative tasks; diary management; travel and meeting arrangements; record keeping; minute taking; and accurate typing even with interruptions.
Important skills are:
good communication (speaking and writing); planning and organizing one’s work; being able to interact with senior staff; working well under pressure; paying close attention to details; solving problems; and good phone manners.
A good attitude includes being good with people.
Rand Water can choose not to fill any of the advertised jobs at any time.
You will be on a trial period for as long as a year, with your performance checked each month. After this, if you pass, you will get a permanent job at Rand Water.
