We are looking for a friendly and efficient Receptionist to join our dynamic team at our bustling Witbank/eMalahleni branch. As the first point of contact for our company, you will play a crucial receptionist role in creating a lasting positive impression on our guests and visitors. You will be a receptionist responsible for greeting individuals with a warm, professional, and approachable demeanor, ensuring they feel comfortable and valued from the moment they arrive. In addition to welcoming visitors, you will manage a busy switchboard, expertly handling incoming and outgoing phone calls, and directing inquiries to the appropriate personnel or department with efficiency and accuracy.

The Receptionist will also be responsible for managing the flow of communication into and out of the office, including sorting and distributing incoming mail, packages, and deliveries, as well as preparing outgoing shipments. Maintaining a tidy, presentable, and well-organized reception area is also essential, contributing to a professional and welcoming atmosphere for both visitors and employees.

Beyond the core reception duties, the successful candidate will also provide valuable administrative support to various departments within the company. This may include assisting with scheduling appointments and meetings, managing calendars, preparing documents, and assisting with data entry tasks.

Key Responsibilities:

  • Guest and Visitor Management: Greet and welcome guests and visitors in a friendly, professional, and courteous manner. Ensure visitors sign in and out appropriately and notify relevant personnel of their arrival. Offer refreshments as needed.
  • Phone Management: Answer incoming phone calls promptly and professionally, screening calls and directing them to the appropriate person or department. Take accurate messages and ensure timely delivery to the intended recipient.
  • Mail and Package Handling: Manage all incoming and outgoing mail, packages, and deliveries. Sort and distribute mail to the appropriate recipients and prepare packages for shipment. Track deliveries and ensure proper documentation.
  • Reception Area Maintenance: Maintain a clean, organized, and welcoming reception area. Ensure brochures, reading materials, and other resources are readily available and well-stocked.
  • Scheduling and Meeting Coordination: Assist with scheduling appointments and meetings for various departments, including booking meeting rooms, coordinating catering, and preparing meeting materials.
  • Administrative Support: Provide administrative support to various departments as needed, including data entry, document preparation, photocopying, and faxing.
  • Office Supplies Management: Keep track of office supplies and place orders when needed, ensuring adequate stock levels and staying within budgetary guidelines.
  • Confidentiality: Maintain strict confidentiality of sensitive information, including employee records, financial data, and client information.
  • General Assistance: Provide general information and assistance to visitors and employees, answering questions and resolving issues in a timely and efficient manner.
  • Equipment Maintenance: Report any malfunctions of office equipment, such as printers, copiers, or telephones, and coordinate repairs with appropriate service providers.

Requirements:

A high school degree or Grade 12
Experience in the same type of job is a plus
Good at talking and writing clearly
Know how to use Microsoft Office programs
Able to keep things organized and do many things at once
Must be polite and nice
Can work alone and with others
