POSITION GOAL: Front Desk & Administrative Support Specialist
Sanral are seeking an enthusiastic, professional, and highly organized individual to serve as the initial point of contact for all visitors and callers to SANRAL. This pivotal role is far more than just a reception position; it’s about creating a welcoming and efficient gateway to our organization. The successful candidate will be instrumental in projecting a positive first impression, ensuring that everyone who interacts with SANRAL, whether in person or by phone, receives a pleasant, inviting, and highly effective service experience.
Beyond the warm welcome, this position involves the comprehensive organization and oversight of all front desk operations. This includes managing visitor flow, maintaining a tidy and professional reception area, and expertly operating our multi-line telephone system. You will be responsible for directing calls efficiently, taking accurate messages, and ensuring seamless communication within and outside the organization. Furthermore, this role provides essential administrative support to the broader office, assisting with various tasks that contribute to the smooth and productive functioning of our daily operations. Your proactive approach and attention to detail will be vital in contributing to an organized and supportive work environment for all SANRAL staff.
REQUIRED QUALIFICATIONS:
To excel in this dynamic role, candidates must possess the following qualifications:
- Educational Foundation: A foundational High School Diploma (Grade 12) is mandatory. This demonstrates a strong commitment to education and the basic academic skills necessary for the role. Candidates who have furthered their education with a qualification obtained after high school, such as a certificate, diploma, or associate’s degree in business administration, office management, customer service, or a related field, will be given preferential consideration. This additional academic background is a significant plus, indicating a deeper understanding of professional protocols and administrative best practices.
- Proven Experience: A minimum of three (3) years of dedicated and progressive experience working in a busy reception desk environment is essential. This experience must include hands-on proficiency in operating a multi-line switchboard system. We are looking for individuals who can confidently manage multiple incoming calls, direct them appropriately, and handle inquiries with professionalism and efficiency. Experience in managing visitor logs, scheduling appointments, and handling basic inquiries independently is also highly valued.
- Technological Proficiency: Exceptional computer literacy is non-negotiable. The sanral ideal candidate will demonstrate advanced proficiency in using personal computers for various tasks. Crucially, a strong command of Microsoft Office programs, including but not limited to Word, Excel, Outlook, and PowerPoint, is required. This encompasses creating, editing, and formatting documents, managing schedules and emails, and preparing presentations. Familiarity with other office software, such as database systems or customer relationship management (CRM) tools, would be an added advantage.
