Job Summary:

Teta are seeking a highly motivated and professional individual to join our team as a Switchboard Operator/Receptionist. This teta role requires a dynamic individual with excellent communication and interpersonal skills, coupled with experience in both switchboard operation/reception and basic housekeeping duties. Teta successful candidate will be the first point of contact for visitors and callers, ensuring a positive and professional impression of the organization. Teta will also be responsible for maintaining a clean and orderly reception area and contributing to the overall cleanliness of the office environment.

Key Responsibilities:

  • Operating the switchboard efficiently and professionally, answering incoming calls, screening calls, and directing them to the appropriate personnel.
  • Greeting visitors in a friendly and courteous manner, providing information and assistance as needed, and ensuring they are properly signed in and directed.
  • Managing the reception area, ensuring it is clean, tidy, and presentable at all times.
  • Handling incoming and outgoing mail, packages, and deliveries.
  • Performing basic housekeeping tasks, including cleaning and tidying the reception area, restrooms, kitchen and common areas.
  • Maintaining office supplies and equipment, and reporting any maintenance issues.
  • Providing administrative support to other departments as needed, including data entry, photocopying, and filing.
  • Maintaining accurate records of visitors, phone calls, and other relevant information.
  • Adhering to company policies and procedures.
  • Ensuring compliance with safety regulations.
  • Performing other duties as assigned.

Requirements:

2.1. Experience and Qualification:

  • Matric qualification (essential).
  • Secretariat/administration qualification will be considered a significant advantage.
  • Minimum of 3 years of proven experience working as a switchboard operator/receptionist.
  • Minimum of 1 year of experience in housekeeping or cleaning, demonstrating a commitment to maintaining a clean and organized environment.

  • Customer Service Excellence: Demonstrable understanding of principles and best practices in providing exceptional customer service.
  • Switchboard Operation: Thorough understanding of switchboard operations, including call routing, call forwarding, and voicemail management.
  • Attention to Detail: Ability to pay close attention to detail, ensuring accuracy and completeness in all tasks.
  • Independent and Team Work: Demonstrated ability to work effectively both independently and as a collaborative member of a team.

  • Telephone Etiquette: Exceptional telephone etiquette skills, including clear and professional communication.
  • Interpersonal Communication: Excellent interpersonal skills, both written and verbal, with the ability to communicate effectively with individuals at all levels of the organization.
  • Time Management: Strong time management skills, with the ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Computer Proficiency: Proficient in computer skills, including MS Word, MS Excel, MS Outlook, and MS PowerPoint. Ability to learn and adapt to new software and technology quickly.
